Getting Started

How do I create a TradeCrew account?

Go to app.tradecrew.app and create an account with your email, or continue with Google or Apple. Email sign-ups get a verification code to confirm the address. A short onboarding flow then sets up your trade and rates, and it takes a few minutes. The iOS and Android apps are in beta, so for now the web app is the way in. To test the mobile apps, join the beta.

What information do I need to complete onboarding?

Four steps: your trade (plumbing, electrical, HVAC, landscaping, roofing, general, or other), your default labor rate ($/hr) and material markup percentage, a business name, and a service area. The business name is optional: choose Continue without to skip it. The service area step needs an answer before you can finish, although TradeCrew does not use it for anything yet. You can change your business name later in Settings → Profile, and your labor rate and markup in Settings → Rates. Your trade can't be changed in Settings on the web yet. Connecting Stripe is not part of onboarding. You do that later in Settings → Payments.

I didn't receive my verification email.

Check your spam folder first. If it isn't there, tap Resend code on the verification screen. Codes stay valid for 24 hours, so there's no need to sign up again. (Signed up with Google or Apple? There's no code. Sign in with the same button you used.)

Quotes

How do I create a quote?

From the Quotes tab, tap the + button. Fill in the customer, job type, and add line items (labor, materials, or other). Tap Send when ready — your customer gets a link to view and accept it.

Can I describe a job in plain words instead of adding line items?

Yes. On the web, the new quote screen has an AI Quote Draft box: type or paste a description under Describe the job (e.g., "Replace water heater, 3 hours labor at $95, parts $380") and click Draft with AI. In the mobile app, tap Describe it instead above the line items, type your description, and tap Fill in line items. Either way, TradeCrew turns it into line items for you to review and edit before sending. To talk instead of type, tap Speak and describe the job. On the web it appears in Chrome, Edge and Safari (not Firefox), and in the mobile app it is in the current beta. You can always skip this and add line items yourself.

What are the quote statuses?
  • Draft — saved but not sent yet
  • Sent — emailed to your customer
  • Accepted — customer signed and approved
  • Declined — customer turned it down
  • Invoiced — you've turned the accepted quote into an invoice
My customer says the quote link no longer works.

Acceptance links stay valid for 30 days from the day the quote is sent. After that the link stops opening, but the quote itself is untouched — open it and tap the send button again to send a fresh link and start a new 30-day window.

Can I edit a quote after sending it?

Not directly — the Edit option is only available while a quote is in Draft status. Once it's sent, you can still tap Resend Quote to refresh the acceptance link with the same details, but to change pricing or line items you'll need to create a new quote.

My customer says they can't find the quote link.

Check that the email address on the customer record is correct (Customers tab → customer name). Then re-send the quote — it sends a fresh link. Also ask them to check spam.

Invoices & Payments

How do invoices work?

Once a customer accepts a quote, open that quote in the TradeCrew web app and tap Create Invoice — the line items carry over, so there is nothing to re-type. TradeCrew emails your customer a secure payment link as soon as the invoice is created, and Copy payment link on the invoice lets you send it yourself. The Invoices tab then shows what is paid and what is still outstanding.

How do I enable payments?

Go to Settings → Payments (Payment Setup in the app) and follow the Stripe Connect flow. You'll need your SSN (last 4), a bank account number, and basic business info. Once approved (usually same day), you can send invoices and collect card payments directly through TradeCrew.

How does TradeCrew make money? Is there a fee?

TradeCrew charges a 1.2% platform fee on payments collected through the app. Your customer pays the full quote amount; TradeCrew deducts 1.2% before depositing the rest to your bank. There are no monthly fees on the free plan.

How long do payouts take?

Stripe's standard payout schedule is 2 business days after a customer payment. Newly connected accounts may have a 7-day hold for the first payout.

A customer paid but I don't see the money.

First check Invoices — confirm the invoice shows Paid. Then check your Stripe dashboard for payout timing. An invoice is only ever Unpaid or Paid, so if it still reads Unpaid the customer has not completed checkout — follow up with them directly to confirm.

Can I accept cash or check and mark an invoice paid manually?

Not yet — invoices track Stripe payments only. This is on the product roadmap.

Projects, Time & Expenses

What's the difference between a Project and a Quote?

A Project is the job itself. It can hold several quotes, your time entries and your expenses. A Quote is the estimate you send to a customer. Projects show what the job is costing you in hours, labor and materials.

How do I create a project?

From the Projects tab, tap + New in the top right corner of the screen.

How do I track my hours on a job?

Open the project and go to Time (a tab on the web, the Time Log section in the app), then choose Add entry on the web or Add in the app. Each entry has a description, a duration, a rate ($/hr) and a date. The rate starts at your labor rate from Settings (on the web, at the rate of the job's last entry), and you can change it for overtime or a helper's hours. The project totals your hours and costs each entry at its own rate.

What are project statuses?
  • Pre-Bidding — quoting stage, not awarded yet
  • Open — awarded, work not started
  • In Progress — work underway
  • Completed — job finished
  • Rejected — bid not won
Can I log material costs or expenses against a project?

Yes. Open the project and go to Expenses, then add one: a description, a category, the amount, the vendor if you want it, and the date. Expenses count toward the project's Financial Summary. To bill them, use Apply to Quote on a draft quote.

Customers

How do I add a customer?

Customers tab → + button → fill in name (required), phone, email, address, and any notes. Customers are saved to your account and auto-fill when creating quotes.

Can I import customers from my phone contacts?

Not yet. Manual entry is the only option today; contact import is planned.

Ratings & Reviews

How does the customer rating system work?

A customer can rate you on 6 dimensions: quality of work, honesty, reliability, communication, cleanliness, and fairness of price, and say whether they would hire you again. Ratings are in early access: TradeCrew does not send rating requests automatically yet, and there are no public contractor profiles to look up a score.

Can I respond to a review?

Yes. Open the Ratings tab (mobile) or the Ratings page (web), find the review, and tap Respond. Your response is saved against that review and shown alongside it in your Ratings view. TradeCrew does not publish contractor profiles yet, so neither the review nor your response appears on the open web.

My rating score seems lower than expected.

Your overall score is weighted — Quality of Work (30%) and Honesty (25%) count the most. Improving those dimensions has the biggest impact on your score.

Offline & Sync

Does TradeCrew work without internet?

No. TradeCrew needs a connection to load and save your quotes, customers, and invoices. Uploading work created while offline is not built yet, so wait until you have a signal before you create or send anything.

I added something offline and it isn't on my other device.

Anything entered without a connection stays on that device. There is no background upload yet, so it has to be re-entered online. To check what actually reached your account, open the Quotes or Customers list with a connection and refresh: what loads there is what is saved. Offline sync is on the product roadmap.

Account & Settings

How do I change my labor rate or markup?

On the web, Settings → Rates holds your labor rate and materials markup. Choose Edit Rates to change either. In the app, the profile screen in Settings changes your labor rate. Both numbers seed the suggestions the AI draft (Draft with AI on the web, Fill in line items in the app) makes on a new quote. They never change a quote you've already created, and line items you type yourself are always your own figures.

How do I delete my account?

Settings → Delete Account. This permanently removes all your data (customers, quotes, invoices, projects, payment history) and cannot be undone. Your Stripe Connect account is disconnected but not deleted.

What's the difference between Free and Pro?

Free includes core quoting, invoicing, and customer management. Pro plan details are coming soon.

Troubleshooting

The app is crashing on startup.

Force-quit the app and reopen it. If it crashes again, make sure you have the latest beta build (TestFlight on iPhone, the Play testing link on Android). If you're on the latest build, uninstall and reinstall. Your data is saved on TradeCrew's servers and will load again after you sign in.

I accidentally deleted something. Can it be recovered?

Deleted customers, quotes, and invoices cannot be recovered. Deletion is permanent — please confirm before deleting.

Something is broken and I need to report it.

Email support@tradecrew.app with: your device model, iOS/Android version, app version, and steps to reproduce. Screenshots or screen recordings help a lot.

Still stuck?

If your question isn't answered above, email support@tradecrew.app. If you're still weighing it up, the pricing page and how it works cover the rest.
